How to Set Up a BYOM Meeting Room in India

How to build a bring-your-own-meeting room for Teams, Zoom or Meet: video bars, table docks, wireless presentation and cameras, from huddle rooms to boardrooms.

BYOM stands for "bring your own meeting". The presenter's laptop runs the call in whatever app their company uses, whether Teams, Zoom or Google Meet, and the room supplies the screen, camera, microphones and speakers. Set up well, anyone can walk in, connect one cable or press one button, and start. This guide covers how to build that for huddle rooms, mid-size meeting rooms and boardrooms.

What every BYOM room needs

  1. A screen, either a TV or a projector.
  2. A camera placed at the screen, so remote people see faces rather than the tops of heads.
  3. Microphones and speakers that cover the whole table. This matters more than the camera.
  4. One way in from the laptop, either a cable at the table or a wireless button.

Huddle rooms (2–6 people): one bar, one cable

Use an all-in-one video bar mounted under the screen. AnyCo V100 combines a 4K AI camera, microphones, speakers, display output, networking and 100W laptop charging. The presenter plugs in one USB-C cable and gets everything. AnyCo V8 is a 4K video bar with a microphone array and stereo speakers, for rooms where a room PC or a separate cable carries the display. Meeting rooms (6–12 people): add a table connection

When the screen is several metres from the table, people need a tidy place to plug in. Two options:

  • Table dock: eShare C30 sits on the table and accepts USB-C or HDMI. It puts the laptop on the room display in 4K and passes the room's USB camera and speakerphone to the laptop.

Wireless presentation: no cables on the table

Many rooms want guests to share a screen without hunting for an adapter. A wireless presentation system has a base unit at the display and a button or an app for the presenter.

Five set-up mistakes to avoid

  1. Camera too high. Mount it at eye level, just above or below the screen.
  2. Microphone too far away. Video bars pick up best within a few metres. Add a table microphone or speakerphone for the far end of a long table.
  3. Cheap cables. USB-C cables that can't carry video cause most "no signal" calls. Use the cables supplied with the kit.
  4. No charging. Laptops die in long meetings. Choose a solution that charges over the same cable (V100, 4KEX100-BYOM, W90).
  5. No test call. Before handover, run a Teams or Zoom call from a Windows laptop and from a Mac, and check that the camera, microphones and speakers each appear in the meeting app.
